ProTax Advantage ("ProTax Advantage," "we," "us," or "our") is committed to protecting the privacy, confidentiality, and security of information entrusted to us by clients, prospective clients, and website visitors.


Because our services involve tax representation, tax preparation, tax resolution, and financial matters, information provided to us may be particularly sensitive.


This Privacy Policy explains how information may be collected, used, processed, stored, and disclosed in connection with our website, communications, and professional services.


1. INFORMATION WE COLLECT

Depending upon your relationship with ProTax Advantage, we may collect:

  • Names, addresses, telephone numbers, and email addresses;
  • Social Security numbers and taxpayer identification numbers;
  • Employer identification numbers;
  • Dates of birth;
  • Tax returns and tax transcripts;
  • IRS and state tax notices;
  • Wage, income, and employment information;

  • Bank and financial account information;

  • Property information;
  • Financial statements;
  • Government correspondence;
  • Information supplied during telephone calls, consultations, questionnaires, and interviews;
  • Documents uploaded to secure portals;

  • Other information reasonably necessary to evaluate or perform professional services.


2. HOW WE COLLECT INFORMATION

Information may be collected directly from you, from authorized government agencies, from authorized third parties, or through technology and service providers used in our practice.


Depending upon the services involved, these providers may include:

AllClients — client relationship management for existing clients.

TaxCure360 — lead management, communications, telephone and SMS services, call recording, artificial-intelligence-assisted communications, and related customer relationship management functions.

Calendly — online appointment scheduling.

Verifyle — secure client portal and document exchange.

Canopy — tax-practice technology, transcript-related services, client information management, and related professional functions.

PitBullTax Software — tax transcript and tax-resolution-related technology.

UltimateTax — tax preparation software.

Stripe and PayPal — electronic payment processing.

GoDaddy — website hosting and related website technology.


We may add, replace, or discontinue technology providers as our business needs and available technologies change.


3. HOW WE USE INFORMATION

We may use information to:

  • Respond to inquiries;
  • Evaluate prospective tax matters;
  • Conduct consultations;
  • Provide tax preparation and tax-resolution services;
  • Represent taxpayers before the Internal Revenue Service and state taxing authorities;
  • Obtain and analyze tax transcripts;
  • Prepare financial analyses;
  • Prepare tax returns and tax-related documents;
  • Develop tax-resolution strategies;
  • Maintain client files;
  • Communicate with clients and prospective clients;
  • Schedule appointments;
  • Process payments;
  • Maintain records required by law or professional standards;
  • Protect against fraud and unauthorized access;
  • Improve our services and business operations; and
  • Comply with applicable legal, regulatory, and professional requirements.


4. TAXPAYER INFORMATION

ProTax Advantage treats tax return information and taxpayer financial information as confidential.


Tax return information is used or disclosed only as permitted by applicable law, including applicable provisions of the Internal Revenue Code and Treasury Regulations.


Certain uses or disclosures of tax return information may require separate taxpayer consent.


This Privacy Policy does not replace any separate consent required by law.


5. ARTIFICIAL INTELLIGENCE AND TECHNOLOGY-ASSISTED SERVICES

ProTax Advantage uses modern technology, which may include artificial intelligence ("AI") and automated tools, to assist with certain administrative, research, analytical, communication, and professional functions.


Examples may include:

  • Tax and legal research;
  • Summarizing tax authorities and administrative guidance;
  • Organizing information;
  • Assisting with analysis;
  • Drafting or reviewing correspondence;
  • Identifying potential tax-resolution strategies;
  • Lead intake and qualification;
  • Scheduling and administrative communications;
  • Telephone and messaging assistance; and
  • Other internal productivity functions.


AI-generated information is not necessarily relied upon without professional review. When AI or automated technology assists with substantive tax research or professional work, ProTax Advantage personnel remain responsible for evaluating the information and exercising professional judgment.


ProTax Advantage seeks to limit disclosure of personally identifiable taxpayer information to external AI systems unless the disclosure is permitted by law, appropriately protected, or authorized by the taxpayer where authorization is required.


6. AI-ASSISTED TELEPHONE AND CLIENT COMMUNICATIONS

ProTax Advantage may use AI-assisted telephone, messaging, and communication technology, including technology provided through TaxCure360.Clients and prospective clients may therefore interact with automated or AI-assisted systems during certain communications.


These systems may assist with matters including:

  • Initial inquiries;
  • Lead intake;
  • Appointment scheduling;
  • Follow-up communications;
  • General information;
  • Routing communications;
  • Collecting information requested by our staff; and
  • Client-service communications.


AI-assisted systems are not authorized to independently make final professional determinations regarding a taxpayer's legal rights, tax liability, eligibility for a particular resolution program, or the final professional strategy for a client matter.


7. TELEPHONE CALL RECORDING

Telephone calls with ProTax Advantage may be recorded, monitored, transcribed, summarized, or analyzed for purposes including:

  • Maintaining accurate client records;
  • Documenting information and instructions;
  • Quality assurance;
  • Training;
  • Compliance;
  • Protecting clients and the firm;
  • Improving customer service; and
  • Assisting with case management.


Where required by applicable law, notice and/or consent will be obtained before recording.


Because callers may be located in jurisdictions with different recording-consent requirements, ProTax Advantage may provide an automated recording notice at the beginning of calls.


8. SMS/TEXT MESSAGING

If you provide a mobile telephone number and consent to receive text communications, ProTax Advantage may send SMS or similar communications regarding:

  • Appointment scheduling and reminders;
  • Requested information;
  • Client-service matters;
  • Document requests;
  • Case updates;
  • Follow-up communications; and
  • Other communications you have authorized.


Message frequency may vary. Message and data rates may apply.


You may opt out of applicable SMS communications by replying STOP. Reply HELP for assistance where supported.


Consent to receive marketing text messages is not a condition of purchasing professional services.


Mobile telephone information and SMS consent information will not be sold or shared with third parties for their independent marketing or promotional purposes.


Information may be provided to telecommunications, CRM, and technology providers to the extent necessary to transmit and manage our communications.


9. PAYMENT INFORMATION

Electronic payments may be processed through third-party payment providers including Stripe and PayPal.


Payment processors may collect payment-card, bank-account, billing, device, fraud-prevention, and transaction information according to their own privacy and security practices.


ProTax Advantage does not intentionally store complete payment-card credentials within its general client files when those credentials are processed directly by a payment processor.


10. WEBSITE TECHNOLOGY, COOKIES, AND ADVERTISING

Our website may use cookies, analytics tools, advertising technologies, conversion tracking, pixels, or similar technologies.


These technologies may be provided by companies such as Google or other advertising and analytics providers and may be used to:

  • Measure website traffic;
  • Understand how visitors locate and use our website;
  • Evaluate advertising effectiveness;
  • Measure conversions;
  • Prevent fraud;
  • Improve website performance; and
  • Support advertising campaigns.


We do not intentionally provide Social Security numbers, tax transcripts, tax returns, detailed financial information, or similar confidential taxpayer information to advertising platforms for targeted advertising.


Visitors may be able to manage cookies or tracking technologies through browser settings and other available privacy controls.


11. SERVICE PROVIDERS

ProTax Advantage uses third-party technology and professional service providers to operate our practice.


Providers may process information only to the extent reasonably necessary to perform services for ProTax Advantage or as otherwise permitted by applicable law.


We evaluate and manage providers that receive sensitive customer information consistent with applicable information-security requirements.


12. INFORMATION SECURITY

ProTax Advantage maintains administrative, technical, and physical safeguards designed to protect customer and taxpayer information.


Our security program may include:

  • A Written Information Security Plan;
  • Access controls;
  • Multi-factor authentication;
  • Encryption where appropriate;
  • Secure portals;
  • Password and authentication requirements;
  • Device protections;
  • Employee and contractor access restrictions;
  • Security training;
  • Data-backup procedures;
  • Vendor oversight;
  • Incident-response procedures; and
  • Periodic review of security practices.


No electronic information system can be guaranteed to be completely secure.


13. EMAIL AND ELECTRONIC COMMUNICATIONS

Ordinary email and SMS communications may not provide the same level of security as an encrypted client portal.


When highly sensitive documents or information are required, clients may be instructed to use our secure portal or another approved secure method.


Clients should not transmit Social Security numbers, complete tax returns, banking credentials, or other highly sensitive information through unsecured channels when a secure alternative has been provided.


14. DISCLOSURES TO TAXING AUTHORITIES

When properly authorized to represent a client, ProTax Advantage may disclose information to or obtain information from:

  • The Internal Revenue Service;
  • State departments of revenue or taxation;
  • State workforce or unemployment agencies;
  • Local taxing authorities; and
  • Other government agencies relevant to the client's matter.


Such disclosures are made as reasonably necessary to provide authorized professional services.


15. LEGALLY REQUIRED DISCLOSURES

We may disclose information when required or permitted by law, including in response to valid subpoenas, court orders, regulatory requirements, professional obligations, or government requests.


16. WE DO NOT SELL CONFIDENTIAL CLIENT INFORMATION

ProTax Advantage does not sell Social Security numbers, tax returns, tax transcripts, confidential financial information, or other protected client tax information.


We do not disclose such information to unrelated third parties for their independent marketing purposes.


17. DATA RETENTION

Information is retained for periods reasonably necessary to provide professional services and satisfy applicable tax, professional, contractual, security, insurance, and legal requirements.


Information may be securely destroyed when it is no longer reasonably necessary or legally required to be retained.


18. DATA SECURITY INCIDENTS

If ProTax Advantage discovers a security incident involving protected information, we will investigate and respond consistent with applicable federal and state laws and regulatory requirements.


Required notifications to affected individuals, government authorities, regulators, or other parties will be made when legally required.


19. CHILDREN

Our website and services are intended primarily for adults and businesses and are not directed toward children under age 13.We do not knowingly solicit personal information directly from children under 13 through our website.


20. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy as our technology, service providers, professional services, or legal obligations change.


The date at the beginning of this Policy identifies its most recent revision.
